The first of three go-lives in support of utmbconnect will commence February 2, 2013, the Charging & Coding soft go-live.
This soft go-live impacts UTMB’s providers and coders. Training opportunities have been provided to those groups impacted to help ease the transition from what they do today to how they will perform their jobs after go-live. There have been opportunities outside of training to introduce new workflows and processes and allow impacted user groups to provide feedback and ask questions.
We are nearing the end of the road to go-live and preparing for cutover and support after go-live. All the pieces are coming together to support this change. If you are a user going live (or are just curious) here are a few key items you need to know:
Cutover will occur February 2, 2013 and users will have a brief downtime between 8am and noon that day (visit http://blogs.utmb.edu/connect/ for more information).
- LOS is captured during encounter
- Providers have 48 hours to close their encounters
- Coders will review 100% of charges entered (initially)
What if I don’t attend training until after February 2nd?
You will not be expected to start charging and coding until after you have attended your scheduled training session.
What do I do if something isn’t working as expected, I forgot how to do something, or I just have a question?
Super Users and your Champion of Change representative (http://www.utmb.edu/connect/CoC/default.asp) are available to assist you before, during and after go-live. If they are unavailable or unable to provide you with the support required, the Change Center (utmbconnect Command Center) will be located in on the Galveston campus (Administration 1.112) to provide support during this transition. In addition, there will be support on the floor at most locations, units and clinics available for immediate assistance.
You can reach the Change Center by calling 2-5200, option 4. Our goal during go-live is to make the transition smooth and painless and ensure help is available if the need arises!
